Terms & Conditions Votre Vacances is a British registered company, and as such, your contract with us will be governed by English Law.

1. Booking Procedure

To confirm a booking, we require a £100 deposit, or if it is 10 weeks or less until your arrival date, the full cost of the holiday. Once the deposit is paid a contract will exist between us. An invoice confirming the booking, holiday details and price will be sent to you via our Booklet email service provider, and you will receive a secure online payment link which will remain active until the full balance has been paid.

Card details are not kept on record. The remaining balance must be paid no later than 10 weeks before the agreed arrival date of your holiday. In the event of non-payment by the set date, we
reserve the right, after due notification to cancel the booking and re-let. In these circumstances the deposit will be forfeited.

Damage Deposit – A refundable damage deposit of £50 is also required on final payment of the holiday. This will be refunded by bank transfer no more than 30 days after departure. The refund is dependent upon the accommodation being left in a satisfactory way, with no breakages or damage.

Our arrangements are effective from the date our contract is formed until the last member of the party has completed their holiday. Please check all paperwork that we send you carefully and
contact us immediately if you have any queries.

The Accommodation – The Hirer agrees to report any breakages/losses/damages immediately and to leave the mobile home(s) and equipment in a clean and tidy condition before departure so that it is ready for immediate occupation. Cleaning of the mobile home is NOT included in the rental charge and all occupants are expected to leave the mobile home as they found it and ready for immediate use. There is a cleaning service available should the hirer wish to take advantage of this service, the cost is £35 when booking the holiday, or on-site for 40€ to be arranged prior to departure with the on-site courier. Please note, even if the hirer has opted for the cleaning service, Votre Vacances still expects the accommodation to be left in a reasonable state, with all personal belongings and any rubbish removed. Failing to do this, may result in the Damage deposit of £50 not being refunded.

The maximum number of people allowed to be accommodated in one single mobile home is SIX including children (unless previously agreed by the Owner in writing). If this clause is not abided by, the site Manager may refuse any unknown people (People not on the booking form) from entering the site.

The cleaning/ damages deposit does not limit the hirer’s liability and in extreme circumstances the owner will pursue additional compensation.
Smoking Policy – In the interest of safety, and comfort and enjoyment of both the Owner and Hirers, the Owner would ask that all party members refrain from smoking inside the mobile homes.

2. Changing/ Alterations to your Booking

If, after you have confirmed your booking and paid the deposit you wish to alter your booking we will do our up most to satisfy your requests. However, a £15 amendment fee will be charged and must be paid immediately.


3. Cancellation of your Booking

If you need to cancel your booking you must telephone the office immediately, and you have to pay the applicable charges. Cancellation charges are:

  • More than 10 weeks (70+ days) until arrival – Loss of deposit
  • 35 – 69 days until arrival – Loss of deposit, plus 50% of full holiday costs
  • 22 – 34 days until arrival – Loss of deposit, plus 60% of full holiday costs
  • 15 – 21 days until arrival – Loss of deposit, plus 80% of full holiday costs
  • 14 days or less until arrival –Loss of 100%


4. Arriving & Departing

Accommodation is available from 4pm. Our reception hours are 4pm until 7pm.
Planning your journey It is your responsibility to plan your journey, and if taking a self-drive holiday, to provide a roadworthy vehicle, that complies with European laws. We will not offer a refund for unused accommodation or travel if insufficient time has been allowed for travelling or if you have broken down.

Early Arrivals
If you think you will be arriving early, please advise the office in advance. Where possible we will arrange the accommodation to be ready, however, we cannot guarantee this. If your accommodation is not available at the time of your arrival, please feel free to use the on-site facilities, including swimming pool, bar, restaurant and take-away.

Late Arrivals
If you will be arriving late, please inform the office, so we can make appropriate arrangements on site. Please note that our on-site reception will be closed from 7pm, but instructions for your arrival will be left at our reception. The campsite closes it gates between 11pm and 7am. If you arrive between these times, you will need to leave your car outside in the car park and enter on foot.


5. Facilities

Sometimes facilities described in the brochure or website may be withdrawn for reasons such as maintenance, bad weather or lack of demand at the discretion of the relevant local management team, and is entirely at the discretion of the campsite Management and is therefore outside of the Owners control. Please note that some facilities may not be available during low season. The Owner would be unable to accept responsibility for any other event outside their control which may affect the quality of the Hirer’s holiday.


6. Special requests/ needs

Special requests must be indicated to us at the time of booking, however, are not guaranteed. In some cases an extra charge may be payable to facilitate a special request. Any customer with
restricted mobility, particular care requirements or disabilities should discuss their requirements at the time of booking. Whilst we will use reasonable endeavours to accommodate such needs, they cannot be guaranteed unless we confirm this to you in writing.


7. Changes for reasons beyond our control

Some changes are necessary because of unusual and unforeseeable circumstances which neither we, nor our suppliers could avoid, even with all due care. These circumstances include industrial disputes, closure or congestion of ports, airports, road blockades, unavoidable technical transport problems, war, civil unrest, terrorist activity, natural or nuclear disaster, epidemic or disease, adverse weather conditions or similar events. In these circumstances you will not be entitled to compensation.


8. Passports and Visas

You are responsible for arranging, and must be in possession of, a valid passport and any visas required for the whole of your journey. Information about these matters is given in good faith, but without responsibility on our part.


9. Holiday Insurance and Help with Claims against third parties

We believe that comprehensive personal insurance is essential for a worry free holiday. We strongly recommend that you take out appropriate holiday insurance including cancellation cover and car breakdown cover. If you book a holiday though Votre Vacances Ltd, and you become ill, injured or suffer death as a result of an activity which is not part of your pre-booked holiday arrangements, we will provide reasonable help.


10. Our liability to you

We accept responsibility if any services we agree to provide as part of our contract are not of a reasonable standard.
We also accept responsibility for the negligent acts of our employees, whilst carrying out work on our behalf exclusively as part of your contract with us, including where injury, illness or death
results. However, we will not accept responsibility for any circumstances listed under the heading “Changes for reasons beyond our control” or failures which are either attributable to you or to a third party unconnected with our contract or for failures of any travel operators with whom you have a direct contract. Under no circumstances shall the Owners liability to the Hirer exceed the amount paid to the Owner for the rental period. In all cases (other than death or personal injury), the most we will have to pay if we are found liable on any basis is twice the price the person affected paid for the holiday (excluding insurance premiums and cancellation charges) but this will not be payable in all cases.


11. Liability of suppliers

Many of the services which make up your holiday are provided by independent suppliers. Those suppliers provide those services in accordance with their own terms and conditions. Some of these terms and conditions may limit or exclude the supplier’s liability to you, usually in accordance with applicable International Conventions.


12. Your responsibility

We want all our customers to have an enjoyable holiday but you must remember that you are responsible for your actions and the effect they may have on others. You must abide by the rules
issued by the local management of Chateau La Foret, take reasonable care of your accommodation and take precautions for your own safety. If we (or another person in authority) believe your actions could upset others or put them in danger, or damage property, we may end your holiday. This could mean you are prevented from using your accommodation. It may also mean we will not accept a future booking from you. If this happens we will not pay compensation or meet any expenses you incur as a result. Excessive alcohol consumption will not be accepted as a reasonable excuse for anti-social behaviour. Parents are responsible for their children’s behaviour and any acts of vandalism or damage to neighbouring properties will become the liability of the Hirer. In the event of any dispute the local Gendarmerie will be invited to intervene. Children’s supervision and parental responsibility You are responsible for the supervision of all members of your party under the age of 21. You must supervise your children and babies at all times unless a child is participating in any supervised activity. This is particularly important in children’s play areas, in licensed areas, close to lakes and waterways, whilst cycling and in swimming pools, where specific ratios may apply. You must collect your child(ren) from supervised activities at the appointed time.


13. Data Protections and your privacy

Your booking: In order to process your booking and to help us provide you with a more personal service, we need to collect certain information from you, including (where applicable) name,
address, age of party members, credit/ debit card or other payment details, contact numbers and any other special requirements which may affect your arrangements. We take full responsibility for ensuring that proper security measures are in place to protect your information. The information may also be provided to security or credit checking companies, public authorities such as customs/immigration if required by them, or as requested by law. Under the 1988 Data Protection Act, your data controller is: Votre Vacances Ltd We will hold information, where collected by us, and may use it to inform you of offers in the future or to send you brochures. If you do not wish to receive such approaches or would like to see a copy of the information held by us, please contact us in writing.


14. Comments or Complaints

If you have reason to complain, you must do so as soon as possible to the relevant person (for example, the courier or site Management) who will do everything reasonably possible to resolve the problem. If you are not satisfied with how your complaint was dealt with, please write to us at:

Within 28 days of returning home. If you fail to do so within this period, it may affect us investigating the points you raise fully and therefore affect the amount of compensation you may be entitled to. The above applies only to the services supplied by Votre Vacances Ltd and does not apply to services featured in this brochure that are provided by any other company.
